Information we collect
We collect only what we need to provide our service and run our business. Specifically:
From you, directly
- Contact details: name, email, phone number, company / brand name, when you submit a form or email us.
- Business information: your Amazon store name, monthly volume estimates, product categories, marketplace details — when you inquire about our service or onboard.
- Service data: shipping addresses, inventory details, SKU information, return reasons — when you use our prep services.
- Payment information: billing address and payment method details, processed by our payment processor. We do not store full credit card numbers.
Automatically, from your device
- Technical data: IP address, browser type, device type, operating system.
- Usage data: pages you visit, time spent, referring website, basic analytics signals.
How we use it
We use the information we collect for these purposes:
- To provide our service. Process your inquiries, prep your inventory, ship to marketplaces, handle returns, send invoices.
- To communicate with you. Reply to questions, send shipping confirmations, provide photo documentation, notify you of issues or changes.
- To improve our operations. Understand how the website is used, identify what works and what doesn’t, fix problems.
- To comply with law. Tax filings, customs documentation, fraud prevention, responding to legal requests.
We do not sell your data. We do not use your information for advertising. We do not share your business details with competitors or third parties for marketing purposes.
Cookies and tracking
Our website uses cookies for two purposes: essential functionality (so the calculator and forms work) and basic analytics (to understand how the site is used).
We don’t use advertising cookies, third-party trackers for marketing, or behavior-based remarketing pixels.
You can disable cookies in your browser settings — the site will still work, but some features (saved calculator inputs, form pre-fills) may not.
Data retention
We keep your information only as long as we need it:
- Active clients: for the duration of our service relationship plus 7 years after, for tax and legal purposes.
- Inquiries that don’t become clients: 12 months from your last contact, then deleted.
- Website analytics: aggregated and anonymized after 14 months.
- Photo documentation: archived for 24 months from shipment date, available to clients on request.
If you want your data deleted earlier, contact us — we’ll do it within 30 days, except where law requires us to retain it.
Your rights
Depending on where you’re located, you may have rights under privacy laws (GDPR if in the EU, CCPA/CPRA if in California, PIPEDA if in Canada, and similar laws elsewhere). These include:
- Access: a copy of the information we hold about you.
- Correction: ask us to fix inaccurate data.
- Deletion: ask us to delete your data (with exceptions for legal records).
- Portability: a machine-readable copy of your data.
- Objection: opt out of certain types of processing.
- Withdraw consent: for any processing based on consent.

Children’s privacy
Our service is for businesses, not for individuals under 18. We don’t knowingly collect data from children. If we learn we’ve done so accidentally, we delete it promptly.
Security
We use standard industry practices to protect your data: encrypted connections (HTTPS), access controls on who can see what, encrypted password storage, and limited data sharing with vendors who maintain their own security standards.
No system is perfectly secure. If we ever detect a breach affecting your data, we’ll notify you within 72 hours and tell you what happened and what we’re doing about it.
International transfers
South Way Prep operates from the United States. Some of our team members and service providers work from other countries. Your data may be stored or processed outside your country.
Where applicable, we rely on standard contractual clauses and equivalent protections to ensure your data stays protected wherever it’s processed.
Changes to this policy
We may update this policy as our service evolves or as laws change. We’ll post the updated version here with a new effective date.
For significant changes (new categories of data collected, new ways we use data), we’ll notify active clients by email at least 30 days before the change takes effect.
